Entering Your Charter Details

TRACtion offers a guided process to walk you through filling out a project charter. Fields designated with an asterisk (*) are mandatory and must be completed in order to submit your project charter for approval.

Naming your Project

As a starting point, you will be asked to give your project a name. You should enter a name that can describe the problem to be solved in a few words.

Defining your Project

Next, enter details about the problem, why it matters to the business, and the potential benefits of the project. Be as specific as possible to help others understand its importance and to set clear goals for what you want to achieve by completion.

From the dropdowns, select the details that apply to your project. This information helps your organization understand where efforts are focused and provides insight into the problems being solved.

If your project is confidential, you can mark it as a “Restricted Project.” Restricted projects are only visible to team members and users with administrative access.

Selecting your Team

Select users in your organization that will be involved in your project. Some roles will be involved in the approval process while others may be those who will help out during the project as it kicks off. Most roles allow only one user to be assigned, but you can add multiple users to the Team Members role if needed.

If there are people involved as stakeholders on the project, you can also enter them names using the provided text box.

Selecting a Roadmap

The workflow for a TRACtion project is based on a selected roadmap. Each roadmap includes a series of tollgate phases that act as checkpoints throughout your project. When you choose a roadmap, you’ll see the list of phases along with the key questions that must be answered before moving on to the next step.

Setting your Deadline Targets

Based on the roadmap you selected, you’ll be asked to enter the expected completion dates for each tollgate phase. These dates help you track upcoming deadlines and prioritize your project work.

Considering Possible Risks

This step is optional, but if you anticipate risks or potential issues that could affect your project’s success, enter them here. If none of the default options apply or you need to add more, use the “Add Another Risk” or “Add Another Issue” button.

Reviewing your Information

Instructions for the user stating that they have filled out the charter completely and can submit it for approval.

After completing the other sections, you’ll see a summary screen. If anything is missing, it will highlight the sections you need to finish. If everything is complete, it will confirm that your charter is ready for review.

After reviewing your project charter and confirming the details are correct, submit it for approval. Your Project Champion will be notified, and once they approve the charter, you can begin working on your project.
